Job Title: Part-Time Development Associate
Location: 133 Prospect Street, Westfield. Remote work possible as needed.
Organization: Westfield United Fund
Hours: Flexible, approximately 25 hrs/week
Compensation: Hourly, commensurate with experience.

The Westfield United Fund has been dedicated to strengthening our community by supporting our most vulnerable neighbors for over 85 years. WUF supports 17 local agencies that provide social services to residents in Westfield and surrounding town. This role is crucial in advancing our mission through effective donor management and support.
Position Overview:
The Part-Time Development Associate will focus on managing donor relations, overseeing stewardship and cultivation communications, and supporting various development activities. This role involves maintaining our donor database, managing direct mail logistics, assisting in identifying prospective major donors, and supporting grant management. The ideal candidate will be a proactive individual with excellent organizational skills, a keen eye for detail, and the ability to collaborate effectively with the development team.
Key Responsibilities:
● Donor Stewardship and Cultivation:
○ Execute and oversee donor stewardship and cultivation communications in an organized and timely manner.
○ Maintain and update donor database (Bloomerang), including entering gifts, running reports, and tracking stewardship and cultivation activities.
● Direct Mail Logistics:
○ Oversee logistics for direct mail campaigns, including stewardship and solicitations.
○ Coordinate campaign materials and manage summer interns responsible for envelope stuffing.
● Prospect Development:
○ Help identify prospective major donors through research and analytics.
○ Support to the Fundraising Committee with fundraising initiatives..
● Grant Management:
○ Send out grant applications to partner agencies.
○ Collect and organize all application materials for the Fund Distribution Committee.
● Administrative Support:
○ Assist in taking notes during meetings and manage follow-ups as necessary to keep the development team on track.
○ Provide general administrative support including preparing reports, assisting with board meetings, and handling other documentation.
● Bookkeeping:
○ Perform basic bookkeeping tasks, including tracking financial transactions and reconciling accounts.
● Event Planning Support:
○ Assist in planning and executing events, including scheduling, logistics, and coordination with vendors.
○ Support event promotion, manage RSVPs, and update the website with event information.
Qualifications:
● Technical Skills:
○ Proficiency in Microsoft Excel and Google Business Suite (Docs, Sheets, Drive).
○ Experience with donor database management systems, particularly Bloomerang, is a plus.
○ Experience with Quickbooks Online.
● Experience:
○ Previous experience in a development or similar administrative role is preferred.
○ Experience working in a non-profit environment is advantageous.
● Skills:
○ Strong organizational and multitasking abilities.
○ Excellent communication and interpersonal skills.
○ Detail-oriented with a high level of accuracy.
○ Ability to work independently and collaboratively within a team.
● Preferred Qualifications:
○ Basic bookkeeping experience is highly desirable.
Additional Information:
● Flexible hours to accommodate work-life balance.
● Occasional evening or weekend hours may be required for events.
● While the position is based in-office, remote work can be arranged as needed.
